Pay Transparency: What HR Needs to Know—and Managers Need to Say

Pay transparency is changing more than job postings. It is changing the conversations employees are having about compensation—and the questions HR and managers need to be prepared to answer.

As more states and local jurisdictions adopt pay transparency requirements, employers are facing new expectations around salary ranges, job postings, pay equity, and compensation practices. At the same time, employees have greater access to salary information and are increasingly asking questions about how their own pay is determined.

What happens when an employee sees a posted salary range and realizes they are near the bottom of it? What should a manager say when someone asks why a new hire is making almost as much as they are? How do you explain why two people in similar roles are paid differently? And what happens when managers give inconsistent—or simply inaccurate—answers?

In this practical session, we’ll look at the evolving pay transparency landscape and, more importantly, what it means inside your organization. We’ll discuss how HR can build more defensible compensation practices, prepare managers for difficult pay conversations, and communicate compensation decisions with greater clarity and consistency—without creating promises or unnecessary risk.

Course Objectives

By the end of this session, participants will be able to:

•

• Understand how evolving pay transparency requirements may affect job postings, salary ranges, and compensation practices.

• Recognize compensation practices and communications that can create legal, pay equity, or employee-relations risk.

• Identify what HR should have in place before asking managers to have more transparent conversations about compensation.

• Prepare managers to respond to questions about salary ranges, raises, new-hire pay, individual compensation decisions, and perceived pay differences.

• Explain compensation decisions more consistently without disclosing confidential information, making promises, or creating unnecessary risk.

• Evaluate whether current compensation practices are structured and documented well enough to withstand greater employee scrutiny.
